If you are a contact person at a client

If you visit our website
- Information about your visit, and cookies or similar technologies. Our cookie statement explains exactly what we place and why. It updates automatically when the services we use change.
- If you allow marketing cookies, Meta receives technical visit data through the Meta Pixel. This includes your IP address, browser and device data, the page visited, the referring page, Meta cookie IDs and the event that a contact, registration or application form was successfully submitted. We do not send the contents of those forms, such as your name, email address, telephone number or CV, through the Meta Pixel.
Special categories of personal data and the BSN
The citizen service number and a copy of your identity document are not special categories of personal data under the GDPR, but they are subject to a strict regime. We process them only because the law requires us to do so: the identification obligation under the Dutch Wage Tax Act. We never use them for another purpose.
We do not process special categories of personal data, such as health, origin or religious data. If someone reports sick, we record only that there is an absence, not its cause.
Our website and service are not intended to collect data about visitors under 16, unless they have permission from a parent or guardian. We cannot verify a visitor’s age. If you believe we collected a minor’s data without that permission, please contact us and we will delete it.
What we use your data for
Every processing activity requires a legal basis. The table below shows the basis for each purpose.
| Purpose | Legal basis |
|---|---|
| Mediate you into suitable work and introduce you to a client | Performance of the agreement |
| Contact you about vacancies, your registration or your placement | Performance of the agreement |
| Prepare an employment contract and pay your salary | Performance of the agreement |
| Establish your identity and pay wage tax | Legal obligation |
| Keep your data in our candidate database after a procedure ends | Consent |
| Improve our website and services | Legitimate interest |
| Place cookies for statistics and marketing | Consent |
You can withdraw consent at any time. This applies from that moment onward and does not affect processing that took place before withdrawal.
How long we retain your data
We do not retain your data longer than necessary for the purpose for which we received it. We apply these periods.
| Data | Retention period | Why |
|---|---|---|
| Application data when no placement follows | 4 weeks after the procedure ends | Advice from the Dutch Data Protection Authority |
| Application data with your consent | 1 year after the procedure ends | Your consent |
| Payroll records | 7 years after employment ends | Fiscal retention obligation |
| Copy of identity document | 5 years after the end of the calendar year in which employment ended | Dutch Wage Tax Act |
| Client contact details | While the relationship continues, then 2 years | Legitimate interest |
Who we share your data with
We do not sell your data. We share it only when necessary for our services or when the law requires us to do so. These parties include:
- Clients to whom we introduce you. We share your profile and experience only after your approval.
- Our payroll and HR administration, to pay your wages and remit taxes.
- The Dutch Tax and Customs Administration and other competent authorities, where the law requires this.
- Our IT suppliers, which process data on our behalf. These include RecruitNow (our candidate system and application forms), Vercel (hosting this website) and Resend (sending email from the website).
- Meta Platforms Ireland Limited, only after you allow marketing cookies, to measure and improve our advertising. For collecting and transferring event data through the Meta Pixel, Employ Werkt! and Meta are jointly responsible to the extent that follows from the Meta Business Tools Terms. Meta may then process the received data under its own privacy policy.
We enter into a data processing agreement with parties that process data on our behalf, so your data is protected there as well as it is with us. Employ Werkt! B.V. remains responsible.
Transfers outside the European Economic Area
We mediate work within the Netherlands, but some IT and marketing suppliers may process personal data outside the European Economic Area. Meta may, for example, transfer data from Ireland to the United States and other countries.
For such a transfer, we or the relevant supplier use a valid transfer mechanism, such as an adequacy decision by the European Commission, the EU-US Data Privacy Framework for participating US organisations, or the European Commission’s standard contractual clauses with additional measures where necessary. More information about these mechanisms is available from the European Commission.
Automated decision-making
Employ Werkt! B.V. does not make decisions about you based on automated processing. A person always assesses whether you fit a vacancy.
Accessing, correcting or deleting your data
You have the right to access, correct or delete your personal data. You also have the right to withdraw consent, object to processing and receive your data in a portable format. This means you can ask us to send your data in a computer file to you or another organisation.
Send a request to c.pattiasina@employwerkt.nl. We respond as soon as possible and in any event within four weeks.
To make sure the request comes from you, we ask you to include a copy of your identity document. Black out your photo, the MRZ (the strip with numbers at the bottom of your passport), your passport number and your BSN in that copy. This protects your privacy.
Filing a complaint
If you disagree with how we handle your data, we would first like to hear from you. If we cannot resolve it together, you can file a complaint with the Dutch Data Protection Authority via autoriteitpersoonsgegevens.nl.
How we secure your data
Employ Werkt! B.V. takes the protection of your data seriously and takes appropriate measures against misuse, loss, unauthorised access, unwanted disclosure and unauthorised alteration. These include encrypted connections, access only for colleagues who need the data and agreements with our suppliers.
If you believe your data is not properly secured, or there are indications of misuse, contact us at c.pattiasina@employwerkt.nl.
Changes to this statement
If our services or the law change, we will update this statement. The current version is always available on this page.
